How to find, create, and manage member records in FM 3.0

Creating a New Member

To add a new member to your franchise, click the Search dropdown and select Add Member, or use the Rapid Member Entry option to add multiple members at once.

Required Fields

The following fields must be completed before a member record can be saved:

  • First Name and Last Name
  • Email Address
  • Primary Phone
  • Address, City, State, and Zip Code
  • Date of Birth
  • Gender
  • How did you hear about us? (Referrer)
Tip: FM 3.0 will alert you if a member with the same email, phone, or address already exists — helping prevent duplicate accounts before they're created.

After Saving

Once saved, you'll land directly on the new member's record where you can add children, process a registration, or update any additional information.

The Member Record

In FM 3.0, everything about a member is organized into tabs across the top of the record. This replaces the list of action links on the right side of FM 2.0.

Coming from FM 2.0? Instead of clicking links like "Give A Member Credit" or "Track SMS Texts" on the right side of the screen, you now click the corresponding tab at the top of the member record. See the Where Did It Go? section below for a full mapping.

The member record header shows the member's name, account number, and two action buttons:

  • Merge icon — Merge this member with another account
  • Save icon — Save changes made on the current tab

Tab by Tab Guide

Click any tab at the top of the member record to navigate between sections.

Basic Info

The member's personal details: name, address, phone, email, date of birth, gender, T-shirt size, referrer, and alert flags. This is where you edit core member information.

Children

Players registered under this account. Add, edit, or merge children here. Each child record holds their name, date of birth, and gender.

Registrations

All program registrations tied to this account — past and present. Click into any registration to view details, process payments, or take action.

Linked Members

Accounts that have been linked together (e.g. family members with separate accounts). Link or unlink members from here.

Franchises

Franchise-specific settings for this member: email opt-out, blacklist status (with required note), coaching issues (with required note), and league score posting permission. Each franchise the member belongs to has its own settings panel here.

Volunteering

The member's volunteer history and background check status. Used for coach and volunteer management.

Reviews

360 feedback and reviews submitted for this member. Read-only view of ratings and comments.

Merchandise

Merchandise order history and any promo codes associated with this member.

Referrals

Members or registrations referred by this account. Tracks referral history and any referral credits earned.

Credits

Account credits available to use toward registrations. Add new credits, view expiry dates, and see the credit history. Includes a bulk credit option.

Texts

Text message history sent to this member, plus their current text opt-in status — showing which message categories (Program Information, Program Changes, Reminders, etc.) they are opted into.

Emails

Email history for the last 30 days. Click View Email on any row to see the full message. Also includes a Send Program Details button to send program information directly from here.

Cases

Support cases and follow-up notes tied to this member. Add new cases, view open items, and track resolution status.

Notes

Internal notes visible to franchise staff. Add free-form notes about the member. Notes can be marked as corporate-only if needed.

Common Tasks

How to Edit Member Information

  1. Open the member record and make sure you're on the Basic Info tab.
  2. Update the fields you need to change.
  3. Click the Save button (disk icon) in the top-right of the record.

How to Add a Child / Player

  1. Go to the Children tab on the member record.
  2. Click Add Child.
  3. Enter the child's first name, last name, date of birth, and gender.
  4. Save the record.

How to Issue a Credit

  1. Go to the Credits tab on the member record.
  2. Click Add Credit.
  3. Select the credit type, enter the amount, and set an expiry date if applicable.
  4. Save. The credit will be available the next time the member registers.

How to Blacklist a Member

  1. Go to the Franchises tab on the member record.
  2. Find your franchise panel and toggle Blacklisted on.
  3. A Blacklist Note field will appear — this is required. Enter the reason.
  4. Click Save.
Note: Blacklisting is franchise-specific. It prevents the member from registering at your franchise but does not affect other franchise locations.

How to Opt a Member Out of Emails

  1. Go to the Franchises tab on the member record.
  2. Find your franchise panel and toggle Opt Out of Emails on.
  3. Click Save.
Tip: Email opt-out is per franchise. If the member belongs to multiple franchise locations, each location manages its own opt-out setting.

How to Merge Duplicate Members

  1. Open one of the duplicate member records.
  2. Click the Merge icon (top-right of the record header).
  3. Search for the other account to merge with.
  4. Select the account and confirm. Choose which record to keep.
Note: Merging is permanent. Children, registrations, and credits will be combined onto the surviving record.

How to Add a Support Case or Note

  • For support follow-ups: go to the Cases tab and click Add Case.
  • For internal staff notes: go to the Notes tab and click Add Note.

How to Send Program Details by Email

  1. Go to the Emails tab on the member record.
  2. Click the Send Program Details button in the top-right of the table.
  3. Select the franchise and program, add an optional message, and click Send.
