How to find, manage, and take action on registration records in FM 3.0

The Registration Record

Click any registration in the search results to open the full record. Everything is organized into tabs across the top, with quick actions available via the speed dial button (the round button in the bottom-right corner of the screen).

Speed Dial Actions

The speed dial button gives you fast access to the most common registration actions:

Tab by Tab Guide

When you open a registration, a summary of the key details (player name, program, status, balance) is always visible at the top. Below it, three tabs give you access to the full record:

Reg Info

The main editing panel. Organized into five sections: Player Information (name, DOB, gender, height, weight, school), Program Placement (uniform sizes, play level, grade), Requests (buddy, coach, special requests), Alternate Contact, and Administrative (status, allow payment, flags). If you navigate away with unsaved changes, a confirmation dialog will appear before discarding them.

Waivers

Lists all waivers signed for this registration, including the waiver type and the date it was accepted. Download a PDF copy of all signed waivers using the Download Waivers button.

Payments

Full payment history for this registration. Shows each transaction with amount, payment type, date, and status. Includes a Resend Receipt button in the toolbar. Use the Process Transaction speed dial to add a new payment. Refunds can also be initiated from within this tab.

Common Tasks

How to Process a Payment

  1. Open the registration record.
  2. Click the speed dial button (bottom-right) and select Process Transaction.
  3. Choose the payment method: credit card (new or saved card), cash/check, promo code, credits, or adjustment.
  4. Click Process + Email to charge and send a receipt, or Process without Email to charge only.
Tip: You can apply a promo code, credit, or adjustment before charging the card to reduce the amount due.

How to Process a Refund

  1. Open the registration record and go to the Payments tab.
  2. Find the original payment transaction you want to refund.
  3. Enter the amount to refund (cannot exceed the refundable balance shown).
  4. Toggle As Cash/Check on if you are issuing a manual refund instead of reversing the card charge.
  5. Click Process Refund.

How to Move a Registration

Move Registration is a 3-step wizard. The current season is pre-selected and available programs load automatically.

  1. Open the registration record, click the speed dial button, and select Move Registration.
  2. Step 1 — Select Program: Choose the destination Season, Year, and Program. Each program shows a capacity chip — Available, Waitlisted, Sold Out, or Out of Age Range.
  3. Step 2 — Registration Fee: Choose the fee option: Original Fee, Full Fee, Deadline Fee, Early Fee, or Offseason Fee.
  4. Step 3 — Details: Review or update buddy and coach requests, uniform sizes for the destination program, play level, and special requests. If moving a single registration that had a buddy pairing, you can optionally clear the roster buddy.
  5. Click Send Email or No Email to complete the move.
Note: Non-corporate users cannot move registrations whose source program has already ended. If you close the wizard with unsaved changes, a confirmation dialog will appear before discarding.

How to Cancel a Registration

  1. Open the registration record and go to the Reg Info tab.
  2. Find the Status field and toggle it to Cancelled.
  3. Save the record.

How to Download Waivers

  1. Open the registration record and go to the Waivers tab.
  2. Review the list of signed waivers.
  3. Click Download Waivers to save a PDF copy of all signed waivers for this registration.

How to Resend Registration or Schedule Emails

  1. Open the registration record.
  2. Click the speed dial button and select Send.
  3. Choose from the sub-menu:
    • Resend Registration Info — sends the registration confirmation email
    • Preview Registration Info — opens a preview without sending
    • Resend Opening Day/Schedule — sends the schedule email
    • Preview Opening Day/Schedule — opens a preview without sending

How to Allow Payment on a Registration

If a registration is unpaid and you need to enable it for payment collection:

  1. Go to the Reg Info tab on the registration record.
  2. Scroll to the Administrative section and toggle Allow Payment on.
  3. Save the record. The member will now be able to complete payment online, or you can process it manually.

Managing the Waitlist

Waitlisted registrations are managed directly from the Registrations search table. Setting the Waitlisted filter to YES switches the table into waitlist mode — you get additional player detail columns, extra bulk actions, and all the tools you need to work through the list.

Activating Waitlist Mode

  1. On the Registrations search page, select your Franchise, Season, and Year.
  2. Set the Waitlisted dropdown to YES.
  3. Click Search. The table will reload with the waitlisted column set and waitlist-specific bulk action buttons.
Tip: You can combine the Waitlisted filter with Sport, Program, or name filters to narrow to a specific program's waitlist.

Extra Columns Shown in Waitlist Mode

When Waitlisted is set to YES, the table shows additional columns to help you evaluate and prioritize players:

Waitlist Bulk Actions

Select one or more registrations in the waitlist table to access these bulk actions:

Allow Payment

Unlocks the registration for payment. A popover appears with two options:

  • Allow Payment With Email — unlocks payment and sends the member an email notification so they know they can now register and pay online.
  • Allow Payment Without Email — unlocks payment silently, with no email sent. Use this when you plan to call the member directly or process payment in-office.
Tip: Allowing payment does not move the player off the waitlist — they remain waitlisted until you move them into an active program.

Send Program Details

Sends the selected members a program details email — the same information as the registration confirmation email. Useful for keeping waitlisted families informed about program dates, location, and schedule while they wait.

Cancel Registration

Cancels the selected waitlisted registrations. A confirmation dialog appears before any cancellations are processed. Use this when a family has found another program or no longer wants to be on the waitlist.

Move Registration

Available whenever Franchise, Year, and Season are selected (not exclusive to waitlist mode). Use this to move a waitlisted player into an open program slot — this is the primary action for clearing someone off the waitlist.

  1. Select the waitlisted registration(s) in the table.
  2. Click Move Registration in the bulk action bar.
  3. Select the destination Season, Year, and Program.
  4. Choose the fee option and confirm any buddy/coach request changes.
  5. Click Send Email or No Email to complete the move.

Send Email / Send Text

Send a custom email or text message to all selected waitlisted members. Available whenever a franchise is selected. Use for bulk waitlist updates, estimated timelines, or program announcements.

Note: All waitlist bulk actions operate only on the registrations you have checked in the table. Use the checkbox in the column header to select all visible rows at once.
